How long a clearance letter stays good depends on the vendor’s own account — whether their payments are current, and whether they hold advance clearance. If their account falls behind or a claim is filed, the next letter will not clear. Most managers find out weeks after the fact, when a new project is already underway.
A general liability COI renews annually. A business licence renews on the municipality’s fiscal year. Yes. Each vendor can carry multiple document types: a COI with an annual expiry date, a WorkSafeBC clearance letter with its own validity window, a business licence, and safety or custom documents. Each document type tracks its own status and reminder schedule independently. Confirm a vendor’s current clearance status with WorkSafeBC directly — this product tracks the document you hold, it does not query WorkSafeBC.
For expiry-based documents (COIs, licences), the system emails you at 30, 14, and 7 days before the expiry date. For cadence-based documents (WorkSafeBC clearances), it tracks the next re-check date. You can also click "Request Update" to send a pre-filled email to the vendor asking for their renewed document.
The ACORD reader extracts key fields from a certificate PDF and shows you what it found with the region of the document it read from. When it is not confident in a field, it abstains rather than guessing. It assists your manual review but does not verify compliance, confirm coverage is in force, or replace professional advice.
