Free COI tracking software
Free COI tracking software: what you get before you pay
COI Tracker is free for up to 10 vendors. No credit card, no trial clock. You get the same reminder emails as the paid plans. This page lists exactly what Free includes, what it doesn’t, and when a spreadsheet is honestly enough.
What the Free plan includes
- Reminder emails
- At 30, 14 and 7 days before each expiry date, plus one notice if a certificate lapses. Same schedule as the paid plans.
- Several policies per certificate
- General liability, workers’ comp, auto and umbrella on one certificate, each with its own expiry date and reminders.
- Renewal requests
- One click emails the vendor in your name asking for the current certificate. Replies come back to your own inbox.
- PDF storage
- Attach the certificate PDF (up to 4 MB). Private storage, short-lived links. 25 file slots on Free.
- Exports
- CSV export of your list and a calendar (.ics) file of expiry dates, any time. Your data is never locked in.
- Status at a glance
- Every certificate shows Expired, Due within 7 days, Expiring soon or Current, with filters and search.
Where Free stops
- More than 10 vendors
- Starter ($29/mo) covers 25; Growth ($59/mo) covers 100; Pro has no vendor limit.
- CSV import
- Bulk-loading an existing spreadsheet is on Growth and Pro. On Free you add vendors by hand — quick for ten.
- Custom reminder days
- Free uses 30 / 14 / 7. Choosing your own windows is a Pro feature.
Three free ways to track COIs, honestly compared
Free software is not always the right answer. If one person checks a short list every week, a spreadsheet works. The difference is whether anything tells you a date is coming.
Spreadsheet + calendar
$0
Good for: A short list that one disciplined person checks every week. Our free template has the columns already set up.
Stops working: It never emails anyone. A date sitting in a cell only helps if someone opens the file before it passes.

Good for: Reminders that arrive whether or not anyone opened a file, the PDF on the same row, and a renewal request in one click.
Stops working: At 10 vendors, or when you need to bulk-import a big list or change the reminder days.

$0, no signup
Good for: Finding what has already expired in a spreadsheet you have today, or checking a single certificate.
Stops working: It is a snapshot. Nothing watches the dates afterwards.

Is COI Tracker really free?
Yes, for up to 10 vendors, with no credit card and no time limit. The Free plan is not a trial: reminders keep working for as long as you use it. You only pay if you choose a paid plan for more vendors or paid features.
What happens when I reach the vendor limit?
Nothing you already track is deleted or paused. Reminders keep going for every vendor you have. Adding vendor number 11 is blocked until you upgrade or remove one you no longer use.
Do reminders go to my vendors?
No. Scheduled reminders go to you, so you decide what to do. When you want the vendor to send a new certificate, click Request update on that row and we email them in your name.
Does it check whether a certificate meets my requirements?
No. COI Tracker tracks the dates you enter and keeps the PDF on file; it does not verify that coverage is genuine or adequate. You, or whoever advises you, still review each certificate. Reminders help you act on time; they are not insurance or legal advice.
Can I get my data out if I stop using it?
Yes. CSV export and the calendar file work on every plan, including Free, and you can download each stored PDF from its row.
How many certificates can I store on Free?
Up to 10 vendors, 100 certificate records and 25 PDF file slots. For most small lists the vendor limit is the one you reach first.
