What is COI tracking?

COI tracking is the process of collecting, storing, and renewing Certificates of Insurance from your vendors, contractors, and subcontractors so you can prove every active vendor carries the coverage your contract or insurance policy requires. Done in spreadsheets it is error-prone; one missed renewal can leave you on the hook for a vendor’s claim.

Who should use COI Tracker?

Property managers, general contractors, facility managers, commercial landlords, restaurant operators, and anyone else who is contractually responsible for verifying vendor insurance. If you currently track expirations in Excel, Google Sheets, or your inbox — this replaces all of that with one dashboard plus automated reminders.

Can vendors update their own certificates?

Yes — on every plan, including Free. Click "Request Update" on any row and we email the vendor a link from your name asking for the new certificate. Their reply lands in your inbox — you upload the new PDF, the expiry date refreshes, and reminders restart automatically.

Do you store PDFs securely?

Yes. Certificate PDFs are stored in private Supabase Storage buckets with row-level-security; only your account can access them. Files are served through short-lived signed URLs (no permanent public links) and all traffic is HTTPS. We never share, sell, or train on your documents.

Can I cancel anytime?

Yes. Cancel from Stripe Customer Portal in two clicks. You keep your paid features until the end of the current billing period, and your data stays in your account in case you come back. There are no setup fees, no seat fees, and no early-termination charges.

Is there a free plan?

What happens if I exceed my vendor limit?

You stay safe. We don’t silently delete vendors when you exceed your tier — instead the dashboard shows a soft prompt to upgrade, and reminders keep firing on every vendor you already have. New vendor creation is blocked until you upgrade or remove inactive ones.
