COI tracking · Vendors & subcontractors

Never lose a job to an expired COI

GCs and property managers won’t let you on site without a current Certificate of Insurance. We track your own renewal calendar so the cert lands in their inbox before they have to ask twice.

The job

What vendors and subcontractors actually deal with

Every new client wants their own COI on file

Each GC, owner, and management company demands a fresh certificate naming them as Additional Insured. Stop scrambling on renewal day — track every relationship in one dashboard.

A lapsed certificate quietly costs you bid eligibility

Some GCs run automated checks; if your COI shows expired, you’re off the bid list before you even quote. Reminders mean your broker hears from you a month before renewal, not the day after.

Multi-state work multiplies your insurance paperwork

If you carry separate policies per state or per project, tracking which one is current for which job is its own job. COI Tracker holds all of them, sorted by expiry.

Examples we see in this dashboard

  • Your own GL, WC, and Auto policies
  • Per-project Additional Insured endorsements
  • State-specific bond and license docs

How COI Tracker handles it

  1. 1Add each vendor with name, email, certificate type, and expiry date — or bulk-import a spreadsheet on Growth+.
  2. 2Upload the certificate PDF on each row. Files are stored privately and surfaced through short-lived signed URLs.
  3. 3Get reminders 30, 14, and 7 days before each expiry. Click “Request Update” to ping the vendor for the new cert.

FAQ — Vendors & subcontractors

Can I track my own policies the same way?

Yes — many subcontractors use COI Tracker as a personal renewal calendar. Add each policy as a "vendor" with your broker as the contact. When the 30-day reminder hits, click Request Update and the email goes to your broker for the new declarations page.

What about the certificates I send out?

Store the PDF you sent each customer (with their AI endorsement) on the corresponding vendor row. When the customer asks for proof, it’s one click to retrieve it. We don’t generate certificates — that’s your broker’s job — but we keep them organized.

How is this different from just keeping the cert in a Google Drive folder?

Drive doesn’t email you. COI Tracker reminds you 30, 14, and 7 days before expiry — every relationship, every policy. The point isn’t storage; it’s renewal automation.

Is the free plan enough for a small subcontractor?

If you’re tracking three or fewer policies (your own GL, WC, and Auto), Free works. Most subs upgrade to Starter ($19/mo) when they start adding per-customer endorsements and want automated renewal nudges to their broker.

Not legal or insurance advice. Verify your specific contract and policy requirements with a licensed broker or attorney.
