COI tracking for facility managers

Cleaners, HVAC techs, security, pest control, vending — every recurring service vendor needs an active COI on file. We make sure none of them slip past renewal.

The job

Where this gets hard

Service vendors renew on different schedules

Your janitorial vendor renews in March, your HVAC contract in October, your pest-control sub mid-year. A spreadsheet hides the cadence; COI Tracker surfaces it as a calendar.

Building access often hinges on current COI

Many corporate facilities require a current certificate before a vendor’s tech badges in. Lapsed coverage = no access = your help-desk ticket. Automated reminders prevent the scramble.

EH&S audits look at every recurring contractor

Annual EH&S and risk audits sample every recurring service. One missing COI can stretch the audit by a week. Filter the dashboard, export, done.

Typical vendors facility managers track

Examples we see in this dashboard

  • Janitorial & cleaning crews
  • HVAC, plumbing & electrical service contracts
  • Security, pest control & vending vendors

How COI Tracker handles it

  1. 1Add each vendor with name, email, certificate type, and expiry date — or bulk-import a spreadsheet on Growth+.
  2. 2Upload the certificate PDF on each row. Files are stored privately and surfaced through short-lived signed URLs.
  3. 3Get reminders 30, 14, and 7 days before each expiry. Click “Request Update” to ping the vendor for the new cert.

FAQ — Facility managers

Can I tag vendors by service category?

Today the vendor name field doubles as the tag — e.g. "Acme Janitorial — North Tower". Per-vendor tags / categories are on the roadmap; CSV export currently lets you slice by name in Excel for now.

What about facilities with multiple buildings under one manager?

Same workflow — include the building in the vendor name or use the CSV import on Growth+ to bulk-load by building. Filter the dashboard by building name to see just that site.

Does this integrate with our CMMS or work-order system?

Not directly today. The most common workflow is: COI Tracker holds the renewal calendar, the CMMS holds the work orders. CSV export bridges the two for now.

Can I export a compliance summary for the EH&S audit?

Not as a generated PDF — that does not exist today. Every plan can export CSV (vendor name, email, certificate type, expiry date), which you can shape into the summary your auditor wants in Excel.

Not legal or insurance advice. Verify your specific contract and policy requirements with a licensed broker or attorney.
